Treat collection, access and sharing as an ongoing responsibility, without confusing recommendations with product settings.

Step by step#

   Recommendation: define internal owners and the purpose of collection per process with legal guidance.

   Collect only necessary data and configure permissions in the modules that store it.

   Before sharing a link to a folder, document, survey or dashboard, check the accessible content.

   To export authorized data, use Manage Data → Export or the module export.

   Data subject/deletion requests need an access and applicable retention review; do not delete mandatory history through a generic routine.

   Periodically review the company's contracts and privacy policy with your legal team.
