Organization Charts: Reporting Lines and Clear Responsibilities

An organization chart helps people understand who does what and where decisions belong. It must reflect current assignments, not an old presentation slide.

Choose a structure that reflects work

  • Hierarchical: shows formal reporting relationships.
  • Flat: emphasizes fewer management layers while keeping ownership clear.
  • Matrix: distinguishes functional reporting from project responsibilities.
  • A simplified public chart: shares only the structure the audience needs.

Start with reliable assignments

Define departments and roles before placing people in the chart. Confirm active membership and current reporting relationships.

Keep personal, banking and sensitive employment information out of the chart. Showing a role does not require publishing the person’s full record.

Make management responsibilities explicit

Identify the person accountable for the team and define who handles approvals. Project leadership and line management can be different responsibilities.

Where relationships are temporary, state the scope and review date. Do not let an informal reporting line create ambiguous approval authority.

Keep hierarchy and permissions distinct

A chart explains organization; it does not prove that a user is authorized to access every team record. Configure and review module permissions separately.

Check access after transfers, departures and management changes. A visible reporting relationship is not a substitute for an access review.

Maintain rather than redraw

  1. 1Confirm current departments, roles and active assignments.
  2. 2Review reporting lines with team owners.
  3. 3Update the structure when responsibilities change.
  4. 4Check who can see personal details and the full chart.
  5. 5Review the chart periodically for outdated or ambiguous relationships.

Summary

A reliable chart shows current responsibilities while access and approval authority remain explicitly configured.

  • Use active assignments
  • Clarify reporting and project roles
  • Keep private details separate
  • Review permissions after changes

Frequently asked questions

Should we use a vertical or matrix chart?

Choose the structure that reflects how work and accountability operate. A matrix needs explicit distinctions between project and functional leadership.

Does being a manager automatically prove access?

No. Permissions must be configured and enforced for the relevant module. The chart alone does not establish authorization.

Does the chart determine legal employment status?

No. Employment classification depends on local law and the real working relationship, not placement on a chart.

How often should we update it?

Whenever assignments or reporting relationships change, with a periodic review to catch outdated entries.
