Customer 360: Connected Records and Responsible Access

When sales and service use different records for the same customer, context gets lost. A connected view helps people find the relevant history without giving everyone access to everything.

Start with one customer identity

Define what represents a company, an individual and a contact person. Keep the relationship between them clear so a shared email address or a change of contact does not create a second customer.

Review existing records before adding a new one. Match using appropriate identifiers and human review rather than assuming a similar name proves identity.

Connect useful layers of context

  • Company or individual details and related contacts.
  • Authorized communication history.
  • Active agreements and relevant documents.
  • Orders, quotations and sales opportunities.
  • Service requests and unresolved issues.
  • Financial context where the user is permitted to see it.

Prevent duplicates without losing history

Agree on matching criteria for email, phone and business identifiers in the countries you serve. Names and address formats vary, so preserve the original details.

Before merging records, check ownership, linked conversations and documents. A merge should not silently discard history or combine two distinct people.

Keep access tied to responsibilities

Decide who can view or change customer details and who needs restricted information. A unified view means connected context, not unrestricted visibility.

Review access when responsibilities change. Administrative access must still remain within the organization’s boundary.

Make handoffs actionable

  1. 1Check the customer record before a new conversation.
  2. 2Record the next step and the person accountable.
  3. 3Link the quotation or service request to the appropriate customer.
  4. 4Keep contact details current and record important changes.
  5. 5Review duplicate rates, unanswered requests and handoff gaps.

Summary

A customer view is useful when identity is reliable, history is connected and each person sees only the context they are authorized to use.

  • Use consistent customer identity
  • Review possible duplicates
  • Connect history to next actions
  • Restrict access by responsibility

Frequently asked questions

What does customer 360 mean?

It is a connected view of relevant customer details, contacts and history across business activities. The available information depends on your tools and permissions.

Does autocomplete eliminate duplicates?

No. Suggestions help people find records, but matching rules and review are still needed, especially for shared contacts and international identifiers.

Should every employee see all customer information?

No. Provide the context needed for their responsibilities and keep restricted data protected.

Can connected records reduce churn?

They can support more informed service and handoffs, but retention depends on many factors. Measure outcomes rather than promising a guaranteed reduction.
